QHow do Faculty/Staff configure a POP or IMAP based email client?
A

While the university does not support the configuration of these clients, these services are still available.  The ingoing/outgoing server for all faculty/staff configurations is mail.uwstout.edu.  The ports are as follows.

POP (SSL): 995

SMTP (TLS): 25 or 587

IMAP (SSL): 993

QWhat kind of spam protection do I have with my campus e-mail?
ACurrently, we have two levels of spam protection.  The first one is two Barracuda Spam Firewalls.  This is a Barracuda Networks product.  The second level is the Junk E-mail filter in your mailbox which you can access via Outlook or webmail.

AEven though viruses shouldnít get to your mailbox, it is suggested that you donít open any e-mails that originate from an unknown source.

QHow do I back up my Outlook 2007 Personal Folder(.pst) to my M drive?

If you are using Outlook 2007, download and install the Microsoft PFBackup tool from pfbackup.exe.

Once installed, open Outlook.  The Personal Folders file (.pst) that you want to back up must be open. If the file is visible in Folder List of Outlook, it is open.

  1. On Outlook File menu, click Backup.
  2. Click Options.
  3. In the Backup these personal folders files list, select the check box for each item you want to back up.
  4. Change the .pst file name shown. Or, to select a different folder, click Browse, navigate to your M drive, and then click Open.
  5. To have Microsoft Outlook automatically remind you to make a backup copy of this file, select the Remind me to backup every x days check box, and then type the number of days between 1 and 999.
  6. Click OK.
  7. Click Save Backup.

    Note  The items selected will not be backed up until you quit Outlook

AThis text is prepended to a subject when the University spam filter perceives that the message is likely spam. If you did not expect to recieve the e-mail, please delete it.  If you did expect to receive it, please disregard the prepended text in the subject line.

QYour message did not reach some or all of the intended recipients;too many emails from this sender.

If you recieve an email similar to the example below stating "Too many emails from this sender", then you have sent too many emails to off-campus email accounts within a designated period. You will need to wait 35 minutes from the time stated directly after "The following recipient(s) cannot be reached" until you can start sending external emails again; in the example below you would need to wait until after 11:38 AM.

Please note that if you send an email to an external account before the 35 minute timeout has expired, you will recieve another email like the example and will need to wait an additional 35 minutes.

Note: If your email does get locked out from sending external emails, like in this example, you can still send emails to Stout email accounts (@uwstout.edu addresses).

      Sent: 11/18/2008 11:00 AM

The following recipient(s) cannot be reached:

      username@gmail.com on 11/18/2008 11:03 AM

QWebmail message: Your password will expire soon.

When logging into Webmail you receive a message that your password will expire soon. This message indicates that your UW-Stout password needs to be changed. You can choose to either change your password now or continue to your Webmail inbox.

However, if you do not change your password in time and it actually expires, you will not be able to log into any UW-Stout websites other than Webmail and the Password Website . These sites will still allow you to change your password.

When logging into Webmail you receive a message that your password has expired and that you must change it now. This message indicates that your UW-Stout password needs to be changed.

Until you change your password, you will not be able to log into any UW-Stout websites other than Webmail and the Password Website . These sites will allow you to change your password.

QHow to add a shared mailbox in Outlook 2010/2013

After the user has been added to the appropriate shared mailbox members group they should do the following:

  1. Open Microsoft Outlook
  2. Click File tab in the Toolbar
  3. Click Account Settings button, select Account Settings
  4. Select the E-Mail tab
  5. Highlight your mailbox, click the Change button
  6. Click the More Settings button
  7. Select the Advance tab
  8. Click the Add button
  9. Type the Shared E-Mail Address
  10. Click the Apply and Ok buttons
  11. Click Next, Finish, and Close buttons

The shared mailbox should populate under your main mailbox (left panel).
